Using Fire Logbook and related pages
These Terms of Service apply to Fire Logbook, its public pages, signup and login pages, support pages, QR/direct-mail landing pages, access-request forms, and authenticated accounts. Viewing a public page or promotional video does not by itself create a paid software subscription.
What Fire Logbook provides
Fire-safety recordkeeping tools
Fire Logbook helps organizations organize recurring inspection records, deficiencies, supporting photos, optional module records, and PDF recordkeeping outputs.
Reports from user-entered data
Generated reports and PDFs are recordkeeping outputs created from information entered into Fire Logbook.
No compliance certification
This tool supports recordkeeping. It does not certify compliance. It does not replace professional inspection, maintenance, legal advice, fire-code advice, or direction from the authority having jurisdiction.
Not for emergency response
Fire Logbook is not an emergency response tool. In an emergency, follow your emergency procedures and contact emergency services.
What your organization remains responsible for
- Determine the fire-safety, inspection, recordkeeping, and professional-support requirements that apply to your organization.
- Perform inspections and respond to issues. Fire Logbook does not perform inspections, repair equipment, or decide whether a failure or deficiency has been resolved.
- Enter accurate information and review names, titles, locations, results, notes, photos, and generated reports before relying on or sharing them.
- Use appropriate content and avoid unnecessary personal information.
- Keep credentials secure and ensure users are authorized to act for the organization.
- Maintain needed external records. Do not rely on Fire Logbook as the only copy of records your organization is required to maintain.
Authorized organization use
Users must use accurate account information, keep credentials secure, and access Fire Logbook only for organizations they are authorized to represent. Organization owner/member roles affect how users interact with organization data where those controls are available.
Ownership and permitted use
Your organization keeps its rights in inspection records, notes, photographs, organization information, and uploaded documents. You give Niktasoft the limited rights needed to host, store, process, display, secure, support, and generate reports from that content as part of Fire Logbook.
Upload only appropriate content
You are responsible for having the necessary authority to upload photos, notes, documents, and other content. Do not upload unnecessary personal information or private content unrelated to fire-safety recordkeeping.
Access requests and support requests
- Requesting access through a QR/direct-mail landing page is separate from creating or authenticating a Fire Logbook account.
- Optional product updates are optional and are not required merely to request access.
- Support requests should not include passwords, tokens, signed URLs, unrestricted notes, or private report content.
Use the service responsibly
- Do not misuse Fire Logbook, attempt unauthorized access, interfere with service operation, or use the service for unlawful content.
- Do not upload malware, credentials, secrets, or content you do not have permission to use.
- Do not use Fire Logbook to imply endorsement by a regulator, fire department, inspector, or authority.
Service availability and exports
- The service may be updated, interrupted, or unavailable because of maintenance, network/provider issues, or technical failure.
- No service-level agreement is promised unless Niktasoft separately agrees to one in writing.
- Export or download records that your organization needs to retain outside Fire Logbook.
External websites and videos
Fire Logbook pages or QR/direct-mail landing pages may link to external sites, including a promotional video hosted outside Fire Logbook. Niktasoft does not control third-party websites or their privacy and security practices.
Account access
Niktasoft may suspend or restrict access for misuse, security risk, or violation of these terms. Users may contact support for account or data questions.
Software, UI, and documentation
Fire Logbook software, UI, branding, and documentation belong to Niktasoft. Users may not copy, reverse engineer, or misuse the service except as allowed by law.
By using this service
By using Fire Logbook, you agree to these Terms of Service, confirm you understand the scope of the tool, and commit to maintaining accurate records and secure credentials for your organization.

Limitations of the service
To the extent permitted by law, the service is provided as-is. Niktasoft is not responsible for missed inspections, inaccurate user-entered data, failed maintenance, code violations, or decisions by authorities or inspectors.
Ontario and Canada
These Terms are governed by the laws of Ontario and the applicable federal laws of Canada.
Updates to these terms
Niktasoft may update these Terms from time to time. When changes are made, the updated Terms will be posted with a revised Last Updated date. For material changes, Niktasoft may provide additional notice where appropriate. Continued use of Fire Logbook after the updated Terms become effective constitutes acceptance of the revised Terms to the extent permitted by applicable law.
